Partner FAQs
What is the cancellation policy?
Written Notice Required – All cancellations must be submitted in writing to events@ensembletravel.com and acknowledged by Ensemble to be valid
Non-Refundable Policy:
- Upon registration confirmation, 50% of the total registration fee is non-refundable
- 90 days or less prior to the event, 100% of the registration fee is non-refundable
- Failure to Pay – Failure to remit full payment by the deadline (60 days prior to the event) will result in automatic forfeiture of registration and all associated benefits without refund
What if a different company representative will be attending in my place?
For NCL group reservations, the current published policy is:
- Up to 90 days before sailing: full name changes are allowed. Within 90 days, name changes are not allowed.
- 89 to 15 days before sailing: one name may be changed without penalty, as long as one of the original guests remains on the reservation.
- Within 14 days of sailing: a name change is treated under the applicable cancellation schedule and may incur cancellation penalties.
- Spelling/name corrections can generally be made up to 48 hours before sailing.
NCL also requires each guest’s full legal name exactly as it appears on their passport or required travel documents.
If you need to change the person sharing your cabin or correct a name, please contact the Ensemble Events team at events@ensembletravel.com as soon as possible.
Please include:
- Your name
- The current cabin occupant’s name
- The new or corrected legal name exactly as it appears on the guest’s passport or government-issued travel documents
Our team will coordinate the change with Norwegian Cruise Line and confirm once it has been completed.
Do I need to set up a virtual booth on the Ensemble Horizons event website?
Yes, primary attendees are required to complete this step. Primary partner registrants from each partner company will receive an email with the subject line: Ensemble Horizons - Virtual Booth Set-Up Instructions & Action Items from events@ensembletravel.com and will need to log into the system to populate the virtual booth with contact details and content.
Can partners bring or ship materials for networking?
Partners are welcome to bring a limited quantity of networking materials with them onboard. Materials should be easy to carry in your luggage and fit on or under your small, round bistro-style networking table.
Please note that there will not be a trade show or expo at Ensemble Horizons 2027, and advance shipping to the ship will not be available. Pull-up banners, large displays, boxes, or other oversized materials will not be permitted.
