Frequently Asked Questions
Do I need to set up a virtual booth on the Ensemble Horizons event website?
Yes, primary attendees are required to complete this step. Primary partner registrants from each partner company will receive an email with the subject line: Ensemble Horizons - Virtual Booth Set-Up Instructions & Action Items from events@ensembletravel.com and will need to log into the system to populate the virtual booth with contact details and content.
Can partners bring materials for networking?
Yes — partners may bring materials. However, pull-up banners or any items that cannot fit on or under your networking table are not permitted. Please note that networking tables are round, bistro-style tables.
Are there trade show tables? Can partners bring materials?
If you are registered as an expo partner, we will email you the guidelines and parameters for materials allowed in your section.
I would like to ship my materials to the hotel in advance, who do I contact?

What is the cancellation policy?
Written Notice Required – All cancellations must be submitted in writing to events@ensembletravel.com and acknowledged by Ensemble to be valid
Non-Refundable Policy:
- Upon registration confirmation, 50% of the total registration fee is non-refundable
- 90 days or less prior to the event, 100% of the registration fee is non-refundable
- Failure to Pay – Failure to remit full payment by the deadline (60 days prior to the event) will result in automatic forfeiture of registration and all associated benefits without refund
What if a different company representative will be attending in my place?
If you need to transfer your registration to another company representative, please contact events@ensembletravel.com to request a name change. Name changes must be requested at least 30 days prior to the event start date.
